Program Associate

This is a full-time, permanent position with the opportunity to grow over time. The Program Associate reports to the Chief Mission Officer and will work in the Chicago office.

Catholic Extension is seeking a dedicated and detail-oriented Program Associate to join our team. The Program Associate will play a crucial role in the administrative and coordination aspects of our grant-making activities, ensuring smooth operations and effective implementation of our programs.

Key responsibilities include:

Grant Management:

  • Assist the Mission Team in the management of grant applications, including creating and editing application forms as needed.

  • Review and code incoming applications, primarily from under resourced dioceses across the country, summarizing key information for further review and approval.

  • Coordinate the approval process for grant applications, ensuring timely and accurate processing.

  • Set up and coordinate payment processes in collaboration with the Finance department, ensuring payments are made in accordance with established timelines through communication with internal and external stakeholders.

  • Create and edit reporting forms as necessary and publish reports monthly.

  • Review incoming reports regularly and summarize findings as needed.

Database Management:

  • Assist in the transition to a new database system (Fluxx), ensuring data accuracy and integrity.

  • Manage database entries and extract information and statistics for communication and development purposes.

Strategic Initiatives and Other Programs:

  • Coordinate various strategic initiatives and programs, such as the Mundelein Seminary and the Compelling Preaching initiative, including updating payment information and facilitating communication with stakeholders.

  • Assist in the administration of the Lumen Christi Award, including notifying finalists and coordinating nominee payments.

  • Provide support for other programs and initiatives as needed.

Communication and Outreach:

  • Manage the Mission inbox and handle general communications with diocesan contacts.

  • Assist in the preparation of the monthly bulletin and other communication materials as required.

 Qualifications

  • Bachelor's degree in a related field or equivalent experience.

  • Previous experience in grant management, administrative support, or project coordination preferred.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Relational and customer service oriented.

  • Proficiency in Microsoft Office Suite and database management software.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Commitment to the mission and values of Catholic Extension.

  • Comfortable working with database programs and quick learning of new software.

  • Sense of humor.
